1. What this service is

We provide a web-based platform for running moderated, text-based focus groups. You use it to schedule sessions, invite participants, run the discussion, and export the resulting transcripts. We provide the software; the research is yours.

2. Your account

You must register with a valid work email address, verify it, and enable multi-factor authentication before you can run a session. You are responsible for what happens under your account, including anything done by someone you give access to. Tell us promptly if you believe your account has been used without your permission.

3. Participants and their information

You choose who to invite and you supply their names, email addresses and any qualifying information. You are responsible for having a lawful basis to do so, for telling them what you are doing with their information, and for honouring any request they make to you about it. We process that information on your instructions in order to provide the service, and for no other purpose. We do not contact your participants ourselves and we do not use their information or your transcripts to train models.

4. What we do with your content

Your projects, transcripts and uploaded files belong to you. We store them to provide the service, and we access them only as described in section 6. Where the service uses automated analysis, only pseudonymized content is sent for processing: real names and email addresses are never included.

5. Retention and deletion

Transcripts are retained for the period set on your account, which you can see and we can change at your request. A retention setting of "never delete" means exactly that. Once a retention period expires, the transcript is permanently removed and cannot be recovered, so export anything you need to keep.

6. Support access

To help with a problem, an administrator may enter your account and see what you see. This happens when you ask us to, or when we are investigating a fault in the platform. Access is read-only unless we tell you otherwise and you agree. Every such access is logged, including when it started, when it ended, and anything that was changed. We are happy to show you that log on request.

7. Acceptable use

Do not use the service to break the law, to harass anyone, to collect information from people who have not agreed to take part, or to run sessions whose purpose is something other than research or discussion. Do not attempt to circumvent the limits of your plan, to access another customer's data, or to interfere with the operation of the platform. We may suspend an account that does any of these, and we will tell you why.

8. Plans, limits and payment

Each plan sets limits on participants, session length, groups and storage. Limits are checked when a group is created; a session already running is never interrupted by a limit. Paid plans are billed in advance through our payment provider. If a payment fails we will tell you and give you a reasonable period to fix it before suspending the account. Fees already paid are not refunded for a period you have partly used, unless the law says otherwise.

9. Availability

We aim to keep the service available and to give notice of planned maintenance, but we do not guarantee uninterrupted operation. Live sessions depend on your connection and your participants' connections as much as on ours.

10. Liability

We are responsible for providing the service with reasonable care and skill. We are not responsible for the research conclusions you draw, for the conduct of your participants, or for losses you could have avoided by exporting your data. Nothing here limits liability that cannot lawfully be limited. Otherwise, our total liability is limited to the fees you paid us in the twelve months before the claim.

11. Ending the agreement

You may cancel at any time, and the account remains usable until the end of the period you have paid for. We may end the agreement for a serious or repeated breach of section 7, or on reasonable notice if we stop offering the service. Export your data before the account closes.

12. Changes

We may change these terms. If a change materially affects you, we will tell you before it takes effect and record which version you agreed to. Continuing to use the service after that point means the new version applies.
